**Short answer:** A small hotel or B&B website needs live availability and instant booking, a page for every room with bright photos and prices, a clear reason to book direct rather than through a booking site, plain cancellation and deposit terms, and local information guests actually use. Availability must sync with the booking sites through a channel manager, or you risk double bookings.

Almost every guest who books a small hotel or B&B looks at its own website at some point, often after finding it on a booking site. That visit is your chance to take the booking directly and keep the commission. A small hotel website that makes booking harder than the online travel agent (OTA) simply sends the guest back to where they came from.

This guide covers what a small hotel, guest house or B&B website needs to win those direct bookings, the rules around deposits and cancellations, and what it costs to get right.

## Why direct bookings depend on the website

Booking sites are very good at one thing: making it quick and safe to book. They show live availability, a total price and a cancellation policy in a couple of taps. Your own website has to match that, then give guests a reason to prefer you. A contact form that says “email us for availability” loses to that every time, because the guest has to wait and cannot be sure the room is free.

The reason to book direct does not have to be a big discount. Many booking site agreements restrict how you advertise lower rates, so read yours. What you can usually offer is something the OTA cannot: a free late checkout, a welcome tray, a bottle of local cider, flexible cancellation, or simply the knowledge that the money goes to the owners.

## The pages and features a hotel or B&B website needs

**What a small hotel or B&B website needs and why**

| Page or feature | What it must do |
|---|---|
| Booking engine | Live availability, total price including all compulsory charges, instant confirmation and card or deposit payment. |
| Channel manager | Keeps availability in sync across your own site and every booking site, so a room cannot sell twice. |
| Room pages | One page per room or room type: bright photos, bed size, bathroom, view, accessibility, price from, and a book button. |
| Breakfast and dining | What is served, when, dietary options and whether non-residents can eat. |
| Local area | Distances and directions to the places guests actually visit: beaches, walks, venues, the station. |
| Policies | Check-in and check-out, cancellation, deposits, children, dogs, parking and payment, in plain English. |
| Contact and find us | Phone, email, address, map, and anything tricky about arrival. |

## Room photography decides the booking

Photographs matter more on a hotel site than almost anywhere else. Dark, distorted wide-angle phone photos can make a lovely room look cramped and cheap. Bright, properly lit photographs taken from a normal height, one set per room, do more for your conversion rate than any other change.

Show the bathroom, the view from the window and the breakfast, not just the bed. Guests are trying to picture their stay. A room page with six honest photos and a clear description beats a homepage slideshow of the garden every time.

## Pricing, deposits and cancellation: the rules

Show the total price. Under the Digital Markets, Competition and Consumers Act 2024 and the CMA’s guidance, mandatory charges such as cleaning fees or compulsory booking fees should be included in the headline price rather than added at the end. Optional extras can be added later as long as they are clearly optional.

The usual 14-day cancellation right for distance contracts does not apply to accommodation booked for specific dates under the Consumer Contracts Regulations, which is why your own cancellation policy matters so much. State it clearly before payment, including when deposits are refundable and when the full balance is taken. Terms must still be fair under the Consumer Rights Act 2015. If in doubt, take advice.

Only display a star rating or accreditation you currently hold, such as a VisitEngland or AA assessment, and say which scheme it is from. Displaying an old or unearned rating is a misleading claim.

If you serve food, your breakfast kitchen will have a food hygiene rating, and allergen information must be available. Card payments should run through a reputable payment provider so you are not handling card data yourself.

## Accessibility information

Guests with mobility needs, sight or hearing loss, or other access requirements need specific detail to decide whether they can stay: step-free routes, door widths, whether there is a ground floor room, shower or bath, grab rails, parking distance. VisitEngland encourages businesses to publish an accessibility guide. Even a single honest page, with measurements and photos, is more useful than a vague “we welcome all guests”.

## What to avoid

- Asking guests to email for availability.
- A booking widget that shows a different price from the booking sites without explaining why.
- No channel manager, so you manage availability by hand and eventually double-book.
- Room photos taken at night or with a very wide lens.
- Cancellation terms that appear only after payment.
- A local area page copied from a tourism site instead of written from what you actually tell guests at breakfast.

## What good looks like

A good small hotel site shows a date picker on the homepage, on every room page and in a fixed bar on mobile. The guest picks dates, sees what is available with the full price, and books in a few steps. The homepage says why booking direct is better in one line. Each room has its own page. The policies page answers the dozen questions you get asked on the phone. The local area page reads like advice from the owner, with walking times and the pub you would recommend.

## How much a hotel or B&B website costs

What pushes the cost up for accommodation sites is mostly the booking side: the number of rooms and rate types, whether you sell packages or dinner, bed and breakfast, deposits and gift vouchers, and how many booking sites the channel manager has to talk to. A single guest house with three rooms is a much simpler build than a twenty-room hotel with a restaurant and a wedding barn.

Booking engines and channel managers for small properties are usually sold as monthly subscriptions, often somewhere between £30 and £150 a month depending on rooms and features, and some charge per booking instead. Website builds vary: a template site can be free to set up but slow to get right, freelancers typically charge £1,000 to £4,000, and agencies building a custom hotel site with an integrated booking engine often quote £4,000 to £15,000.

A B&B that takes bookings through an existing booking engine can often start on our Monthly plan at £299 plus £99/month, with the booking engine linked in. Live availability, deposits and payments built into the site itself can be added to any plan, quoted on your call; if you run several properties, our Pro plan at £6,950 plus £299/month includes them as standard. We design every site from scratch and write the copy for you, and Nerdsharks builds for guest houses and larger hotel groups alike.

## Questions

### How can a B&B get more direct bookings from its website?

A B&B gets more direct bookings by making booking on its own site as easy as on a booking site: live availability, a total price and instant confirmation, plus a clear reason to book direct such as a perk or flexible terms. Good room photography and clear policies do the rest.

### Do hotel guests have a 14-day right to cancel?

Generally no. Under the Consumer Contracts Regulations, accommodation booked for specific dates is exempt from the 14-day cancellation right that applies to most online purchases. Your own cancellation policy governs instead, so publish it clearly before payment and keep it fair.

### What is a channel manager and do I need one?

A channel manager is software that keeps room availability in sync across your own website and every booking site you use. If you sell rooms on more than one platform, you almost certainly need one, because updating each by hand eventually leads to double bookings.

### Can I show a star rating on my website?

You can show a star rating only if you currently hold it from a recognised assessment scheme such as VisitEngland or the AA, and you should name the scheme. Showing an expired or self-awarded rating risks being a misleading claim under consumer protection law.

### Should a B&B website show room prices?

Yes, a B&B website should show room prices, ideally as live prices for the guest’s chosen dates, or at least a clear “from” price per room. Guests compare against the booking sites, and a site that hides prices sends them straight back to one.
