What are missed calls costing you?

When you are with a customer, driving or up a ladder, the phone rings out. Some of those callers ring back. Many ring the next business on the list. Put a number on it with your own figures.

How to count your missed calls

iPhone: open Phone → Recents → tap Missed at the top. Count last week’s calls from numbers you don’t know.

Android: open the Phone app → Recents (or Call history) → filter by Missed. Menus differ a little by phone maker.

Count unknown numbers only: they are the new customers. Friends and suppliers will ring back.

Your estimate: work lost to missed calls

£690

of work a month you may never hear about. That is £8,280 a year, or £4,140 of profit.

Profit lost a month
£345

Not one scary number: if only 30% of missed callers go elsewhere, it is £345 a month; if 80% do, £920.

Every figure comes from the numbers you enter. It is your estimate to plan with, not a measurement.

How it works

The sums, and the assumptions

  1. Callers lost

Missed calls a week × the share who never call back. That share is an assumption we set at 60% as a starting point; we have no UK source for it, so change it to what you see.

  2. Jobs lost

Callers lost × the share of answered new-customer calls that become a job for you.

  3. Work lost a month

Jobs lost a week × average job value × weeks you work a year ÷ 12. Weeks worked allows for holidays and quiet spells.

  4. Profit lost

Work lost × your margin. This is the figure to weigh against any fix that costs money.

  5. The range

The same sum at 30% and 80% of callers not ringing back, so you see a range rather than one number.

Free ways to miss fewer jobs, starting today:

  • Record a voicemail greeting that asks callers to text you what they need, so you have their number and the job in writing.
  • On an iPhone, use “Respond with Text” (swipe up on the incoming call, or set replies in Settings → Apps → Phone) to send a quick “On a job, will call back within the hour”.
  • Give people another route: tap-to-call plus a short quote or enquiry form on your website, so callers who hate voicemail can still reach you.
  • Put your real working hours on your Google Business Profile, so people call when you can answer.

Questions

Common questions

How much do missed calls cost a small business?
It depends on how many you miss, how many of those callers go elsewhere, and what a job is worth to you. For a business missing three new-customer calls a week at a few hundred pounds a job, the lost work can run to thousands of pounds a year. Use your own figures in the calculator for your answer.
What percentage of people call back after a missed call?
We do not know of a reliable UK figure, so we will not quote one. The calculator starts from an assumption that 60% of missed new callers do not ring back, shows the result at 30% and 80% too, and lets you set your own number.
How do I see my missed calls?
On an iPhone, open Phone, then Recents, then tap Missed. On Android, open the Phone app, go to Recents or Call history, and filter by Missed. Count the unknown numbers from last week: those are likely to be new customers.
What is the cheapest way to stop losing missed calls?
A voicemail greeting that asks callers to text you, a quick automatic text reply when you are busy, and a website with tap-to-call and an enquiry form all cost little or nothing. Between them, callers always have a way to leave the job with you rather than ringing someone else.
Does my website affect how many calls I miss?
It affects what callers do next. If your site has a clear enquiry form, your opening hours and a way to book or request a quote, a caller who cannot reach you can still leave the job with you instead of going back to Google.

Give every caller a way to reach you.
